Job Description: Finance Director

32 hours per week, FLSA exempt position (salary $33,380/year)

The Finance Director directs and provides leadership for the fiscal management of Native Seeds/SEARCH. Reporting to the Executive Director, he or she is responsible for ensuring adequate systems of control and financial accounting in accordance with generally accepted accounting principles (GAAP) for nonprofits and advises the Executive Director in financial management for the organization. 


DUTIES

Leadership

  • Assess organizational performance against both the annual budget and organization’s strategic plan.
  • Develop tools and systems to provide critical financial and operational information to the Executive
  • Director and make actionable recommendations on both strategy and operations.
  • Participate in strategic planning and implementation of financial objectives.
  • Oversee budgetary planning in alignment with NS/S strategic plan. Prepare annual agency and program budgets in cooperation with appropriate staff.
  • Serve as member of Management Team.
  • Attend Board of Directors’ meetings.
  • Provide leadership for and participate in Finance Committee meetings.
  • Train NS/S staff, as necessary, in understanding financial statements.

Finance and Accounting

  • Ensure accounting systems are maintained, provide adequate safeguards, and create accurate and timely reports.
  • Review internal operations to ensure adequate safeguards against fraud, waste, or loss of grant funds or assets.
  • Monitor grants and contracts to ensure that fiscal conditions of the grants or contracts are satisfied.
  • Prepare fiscal impact reports and/or projections to assist management in immediate and long term financial planning for the organization.
  • Prepare and maintain monthly Statement of Activities, Statement of Financial Position, Cash Flow forecast, and TRNA for Executive Director, Department Directors, and Board of Director’s Finance Committee.
  • Interpret financial, budgetary, and program information; analyze and develop recommendations for Executive Director on NS/S activities.
  • Coordinate, prepare for, and ensure thorough and timely audits; address questions/recommendations from Auditor and review draft audit for accuracy;
  • Ensure proper filing of tax forms and licenses.
  • Identify and implement opportunities for improved efficiencies, cost containment, and safeguarding of assets.
  • Securely store financial documents and maintain electronic back-up of all documents and data.
    Post all cash receipts and journal entries.
  • Enter accounts payable and issue checks.
  • Reconcile cash and investment accounts on monthly basis.
  • Review and issue all disbursement vouchers.
  • Create and maintain NS/S’s financial policies manual in conjunction with Finance Committee.

Administrative

  • Assist Development Director and Executive Director with grant applications and reports.
  • Ensure productive, professional and strong relationships with vendors and contracting entities.
    Supervise accounting staff, as funding allows.
  • Perform other duties as assigned or requested by the Executive Director.

Human Resources

  • Prepare and process bi-weekly payroll.
  • Ensure proper tracking of insurance deductions and leave balances.
  • Ensure tax payments are made in accordance with state and federal requirements.

REQUIRED EXPERIENCE AND TRAINING

  • Degree in accounting.
  • Three years experience in financial management, accounting or related field.
  • Experience in supervising staff.
  • Previous experience with non-profits preferred.

REQUIRED KNOWLEDGE, SKILL AND ABILITY

  • Knowledge of management and accounting principles and techniques
  • Knowledge of the theories, principles, and terminology of accounting
  • Knowledge of administrative grant requirements
  • Knowledge of budget and fiscal management
  • Knowledge of benefits program maintenance and recordkeeping
  • Ability to plan, develop, and review fiscal activities
  • Ability to analyze, assess, and measure effectiveness of fiscal operations and develop changes for improvement when necessary
  • Ability to present information to management and public agencies
  • Ability to compute, analyze, and project data
  • Ability to analyze, interpret, and apply federal rules, regulations, and bulletins and convert them into necessary fiscal activity changes and modifications
  • Ability to operate computer equipment and accounting software; advanced proficiency in MS Excel; competency in MS Word, database usage, and internet
  • Ability to follow oral and written instructions
  • Ability to work effectively with a wide range of people, maintain confidentiality and demonstrate sensitivity and discretion in all aspects of work.
  • Possess positive interpersonal skills, and clear and effective communication skills
  • Exhibit patience, professionalism, courtesy, tact and resourcefulness

WORKING CONDITIONS

  • Ability to sit for long periods of time in an office environment with low to moderate noise
  • Ability to sit in front of computer for 6-8 hours per day
  • Ability to modify work schedule to attend evening or weekend meetings or functions
  • Ability to travel to meetings and vendors within the Tucson area
  • Ability to travel out of area for trainings or conferences
  • Willingness to commit to the mission and goals of Native Seeds/SEARCH.
